Scansnap Scan To Evernote



Scan to Evernote (without Fujitsu ScanSnap) 16 Jan 2010. For some time now Fujitsu ScanSnap has been a well publicised way to get your scans into Evernote with a minimum of fuss. I don’t have a Fujitsu scanner, but I did have a desire to get my an all-in-one print/scan/fax unit to fit into some sort of scan to Evernote work flow. Or, you can scan a document in a mode without document type detection by setting the Preferences.3 The settings for ScanSnap in the Evernote client software are disabled. If ScanSnap Manager Evernote Edition is uninstalled, these settings will not be displayed in the Evernote client software. Connect the computer with ScanSnap Evernote Edition via a USB cable in order to download and run the tool for changing ScanSnap Evernote Edition to ScanSnap iX500. Run the tool on the computer that the software for ScanSnap Evernote Edition (ScanSnap Manager Evernote Edition) is installed on. You can also scan documents from any ScanSnap Evernote Edition scanner connected to the same Wi-Fi network. Once you've captured an image, Scannable automatically crops and enhances the image by adjusting the brightness, contrast, and clarity. Fujitsu, the manufacturer of your ScanSnap Evernote Edition scanner, no longer supports the ScanSnap Manager Evernote Edition firmware or software. In order to continue scanning to Evernote, update your scanner's firmware and software to match the functionality of Fujitsu's ScanSnap iX500 scanner (which the Evernote Edition is a variant of).

For some time now Fujitsu ScanSnap has been a well publicised way to get your scans into Evernote with aminimum of fuss. I don’t have a Fujitsu scanner, but I did have adesire to get my an all-in-one print/scan/fax unit to fit into some sortof scan to Evernote work flow. Thankfully itwas surprisingly easy.

Every scanning device these days comes with some sort of scan managersoftware which will let you quickly set-up profiles to scan items of aparticular size, resolution, etc. They typically also allow you to setdetails about the output format including the file type, file namingconvention and destination.

ScanSnap is effectively a scan manager that does just this only ratherthan a destination folder you pass it a destination application. Iguess the reason this works is because if you run the Evernoteexecutable (on Windows at least), with a file path as the firstparameter it will try and create a note out of the file.

My typical scanning profile is for A5 sheets from my notebook/file andsince my all-in-one unit has a sheet feeder this is really easy toscan. I did however spend some time getting the resolution and contrastsettings right to keep the file size down but the content legible. Because I mostly scan hand written notes I scan to JPEG as Evernote willscan the images and try to recognise the text content (OCR).

If for some reason you don’t have a scan manager for your scanner(maybe you inherited it?) MetaDMS looks like it has a freeware scan manager that might do thejob. I haven’t tried it myself, but leave a comment if you find it does(or doesn’t) do the job with your scanner.

Once you have your scan profile set-up and you have specified an outputdirectory, you need to configure your Evernote to watch this outputfolder.

In the Windows 3.5 Beta theoption to add a watched folder is available as an item called “Importfolders…” under the “Tools” menu. In the Windows 3.1version it is available on the “File Import Tab” that is available fromthe “Account Properties” menu item under the “Tools” menu. Just add thefolder and decide if you want the file to be removed after import intoEvernote.

Scansnap Evernote Edition Scanner

Unlike ScanSnap which I believe will import directly into the defaultnotebook, setting a watch folder allows you to choose which notebook toimport into. I specifically created a local notebook on the PC whichthe scanner is attached to. This ensures that I can control the flow ofscans into my cloud sync’d notebooks and that if I’m approaching mymonthly limit I can just push up the most essential scans and save theothers for re-filing next month. It also means that the inevitable scanerrors (usually a double feed on my sheet feeder for me) can becorrected without wasting any upload allowance.

I can think of one notable advantage for ScanSnap in that even ifEvernote is not open it will still add it into the default Evernotedatabase. However if you’re an Evernote user why wouldn’t you haveEvernote open and overall I think the option to save to a notebook ofchoice (including local) suggests that watched folders would give abetter scan to Evernote work flow.

Remember too that you could duplicate profile settings but change thedestination folder and have multiple watched folders to make life eveneasier. You might want one profile to scan to a work notebook andanother to scan to a personal notebook that you manage by using twodifferent, watched, output folders for the scans.

So make use of that scanner and get your notes into Evernote so you candeclutter your desk in 2010.

Save an image created from the document that you scanned with the ScanSnap in a cloud service by using a client application for the cloud service.

  • To save an image created from a document that you scanned with the ScanSnap to a cloud service, two methods are available.

Scansnap Scan To Evernote
  1. Open the ADF paper chute (cover) of the ScanSnap to turn the power on. Open the feed guide of the ScanSnap to turn the power on. Press the [Scan] or [Stop] button on the ScanSnap to turn the power on.
  2. Open the feed guide of the ScanSnap to turn the power on.
    • If you want the document to be ejected from the front of the ScanSnap or when there is not enough space where the document exits the ScanSnap, open the output guide.

    • How the document is ejected differs as below depending on whether the output guide is open or closed.

      • When the output guide is closed

      • When the output guide is open

  3. Pull the stacker towards you.
  4. Pull out the extension and the stacker on the ADF paper chute (cover). Pull out the extension on the ADF paper chute (cover) and open the stacker. Pull out the extension.
  5. Configure the settings for a profile.
    1. Click the [Scan] button in the upper left of the Main Window of ScanSnap Home to display the Scan Window.
      Windows

      If the main window is not already displayed, refer to To Display the Main Window.

      Mac OS

      If the main window is not already displayed, click the [ScanSnap Home] icon in the application list that appears when you click Launchpad in the Dock.

    2. Click to display the [Add new profile] Window.
    3. Select a template profile for the cloud service in which scanned images are to be saved, from [Cloud services (via a client application)] located in the template list on the left side of the window.
    4. Select a document type in [Document type detection].
    5. Make sure that the following option is selected for [Type].
    6. Make sure that the following path is specified for [Save to].
      • For Dropbox, Google Drive, and OneDrive

        The sync folder that is set in a client applicationScanSnap

        Example:

        When [Dropbox] is selected from the template list

        C:UsersuserDocumentsDropboxScanSnap

      • For Evernote

        Windows

        In [Save to], specify the same folder as the one which was specified in [import folders] in Evernote for Windows.

        Mac OS

        In [Save to], specify the [Evernote] folder that was created in the place of your choice.

    7. Check that the cloud service in which scanned images are to be saved, is specified for [Send to].
    8. If necessary, change other settings.
    9. Click the [Add] button.
  6. Scan a document.
    1. In the home screen on the touch panel, select the profile that you have configured from the profile list. From the profile list in the scan window, select a profile that you have configured.
    2. Load the document in the ADF paper chute (cover) of the ScanSnap. Insert the document straight into the feeding section of the ScanSnap, with the scanning side facing up.

      Load the document face-down and head-first with the back facing you (when loading multiple documents, the last page is on the top). Adjust the number of documents so that they do not go beyond within the side guides when they are loaded.

      Make sure that the document is fed into the ScanSnap and is held firmly.

      • The ScanSnap can scan documents in various sizes.

    3. Align the side guides with both ends of the document.

      Hold each side guide in the middle to adjust them. Otherwise, the document may be fed skewed.

    4. Press the [Scan] button in the home screen on the touch panel to scan the document. Press the [Scan] button to scan the document. Press the [Scan/Stop] button to start scanning the document.

      To continue scanning, insert the next document to be scanned. When the document is inserted, scanning starts automatically.

    5. Press the [Scan/Stop] button to finish scanning the document.

Images created from the document that you scanned are saved in a cloud service via a client application for the cloud service.

To check the scanned images, log into the cloud service that is specified for the save destination.

  • You can receive a notification on your computer about the transfer status or errors for the scanned images after the scanning of documents is complete.
